This policy covers this public Property Pix website, its enquiry form and interactive demonstrations. The separate Property Pix account service has its own account and service privacy information. Please check that information when signing up or uploading customer photographs there.

Information we collect

  • Enquiry details: the name, agency, work email, optional phone number and message you enter, including any package you ask about. We receive these directly from you as you type, even if you do not submit the form.
  • Enquiry progress: a randomly generated draft reference, changes to the draft, activity times and delivery status. These help us restore your progress and avoid repeatedly notifying the team about the same enquiry.
  • Correspondence: information you share when you email, phone or reply to our team.
  • Technical information: our hosting and security providers process information such as IP addresses, requested pages, browser information, request times and errors to deliver and protect the website. The enquiry service uses an IP-based limit to reduce abuse; it does not attach your IP address to the enquiry record.

Please only include information relevant to your enquiry. Do not enter passwords, payment details or sensitive personal information into the message field.

Enquiries and unfinished forms

The form saves your progress in this browser tab and sends drafts securely to our enquiry service while you type. This helps you continue your enquiry and lets the team help if you leave before finishing.

If an unfinished form contains a usable email address or phone number, the support team can receive a notification after 15 minutes without further activity. That notification includes the details already entered, and the team may contact you about that enquiry. You do not have to press “Send my enquiry” for this to happen.

When you submit the form, we send the completed enquiry to support@property-network.co.uk using Twilio SendGrid. Sending an enquiry does not subscribe you to a newsletter or automatically add you to an advertising audience.

Giving us your details is voluntary. A completed form needs a name, agency and valid email so we can respond; your phone number and message are optional. You can also email or phone the team directly.

Why we use your information

Under the UK General Data Protection Regulation (UK GDPR), we need a lawful basis to use personal information. For this website, we use:

  • Legitimate interests to handle enquiries, save progress, follow up on unfinished enquiries, maintain support correspondence and keep the website secure. Our interests are helping prospective customers with a relevant request, providing a reliable service and preventing misuse. We must balance those interests against your rights and reasonable expectations.
  • Steps towards a contract where you personally ask us to take action before entering a contract with you. Where you contact us on behalf of an agency, handling that business enquiry generally relies on legitimate interests instead.
  • Legal obligations where we must retain or disclose information to comply with a legal requirement, including responding to valid data protection requests.

You can object to uses based on legitimate interests, including an unfinished-enquiry follow-up. Email support@property-network.co.uk and tell us what you would like us to stop. We will consider your request and explain any lawful reason that prevents us from doing so.

We do not use this website’s enquiry information to make decisions with legal or similarly significant effects based solely on automated processing.

Who receives your information

Enquiries are handled by the Property Network support team. The following providers help us operate this website:

  • Cloudflare: website hosting, the enquiry service, temporary draft records, delivery scheduling and abuse protection.
  • Twilio SendGrid: delivery of enquiry notifications to our support inbox. Open and click tracking are disabled on these notifications.
  • Our business email provider: storage and handling of correspondence in the support mailbox.

We do not sell enquiry information. We may disclose it where a legal obligation requires us to, or where necessary to establish, exercise or defend legal claims.

These providers operate internationally, so information may be processed outside the UK, including in the United States. Their data processing terms provide for international transfer safeguards, such as UK-recognised adequacy arrangements or approved contractual protections where applicable. You can read the terms for Cloudflare and Twilio. Contact us for information about the safeguards relevant to your enquiry.

We use encrypted connections and restrict the enquiry service to authorised requests. Access to enquiry information is limited to the team and providers who need it for the purposes described here.

How long we keep it

  • Browser progress: kept in this tab’s session storage. The form only restores a saved draft if it was saved within the last 24 hours. Successful submission clears that saved browser draft. Closing the tab normally ends the session, although browser session-restore features can retain it.
  • Enquiry service records: drafts and submitted records are deleted 30 days after the first save. Later edits do not extend that period.
  • Emails and support correspondence: separate from the 30-day enquiry service record. We keep correspondence for as long as needed to resolve the enquiry, manage any resulting service relationship and meet applicable legal requirements or handle legal claims. These needs determine how long it is retained.
  • Operational records: hosting, security and email delivery providers retain service logs under their own service settings and retention terms. The 30-day enquiry deletion does not automatically delete those logs or messages already delivered to a mailbox.

Contact us if you want to ask about retention or request deletion. Clearing your browser data alone does not delete an enquiry already saved on the server or delivered by email.

Photo and logo previews

The “Try your logo” demonstration reads the image you choose locally in your browser. It does not upload the logo to our server or send it to an image-processing service. Replacing it or leaving the page releases the preview; we do not save your chosen logo for a later visit.

The privacy-blur demonstration works on preselected sample images in your browser. It does not upload your personal photographs. The website’s property scenes and treatment examples are illustrative; account-based photo processing is outside the scope of these demonstrations.

Our cookie policy explains the browser storage used by the enquiry form.

Your rights and choices

Depending on the circumstances and the lawful basis, you can ask us to:

  • Give you access to your personal information and explain how we use it.
  • Correct inaccurate or incomplete information.
  • Delete information where the right to erasure applies.
  • Restrict how we use your information.
  • Stop processing based on legitimate interests, subject to any overriding lawful grounds.
  • Provide information in a portable format where the right to data portability applies.

These rights are not absolute. We may need to verify your identity and will explain the reason if we cannot fully meet a request. Contact support@property-network.co.uk to exercise your rights. We will respond within the applicable legal time limit.

Contact and complaints

For a privacy question, objection or complaint, email support@property-network.co.uk or write to MAC TECH GROUP LTD at the registered office above. Please mention Property Pix so we can find the relevant information.

You can also complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or by calling 0303 123 1113. You do not have to contact us before raising a concern with the ICO.

We will update this page when our handling of website information changes. The date at the top shows when this version was last updated.
